While staff members have strong operational skills, there was no standardised guide outlining best practice volunteer management processes, expectations, or communication strategies. This creates challenges in volunteer engagement, retention, onboarding, and performance support.
Without a clear framework, staff often relied on personal experience rather than consistent procedures. As a result, volunteers received varying levels of support and direction depending on who supervised them. Streamwatch recognised the need to create a practical and accessible and specific guide for managing Streamwatch Volunteers and that could be used to direct Streamwatch staff and establish and maintain a professional and consistent volunteer management approach.
The solution
To address the issue, a best practice volunteer management guide is designed to develop and support staff responsible for recruiting, supervising, and retaining Streamwatch volunteers. The guide is designed to provide clear, practical strategies, and simplified training material that could be implemented across all Streamwatch volunteers and groups.
Through review of online resources, volunteer sector frameworks, and community management publications a guide is being developed to implement volunteer management techniques. Key focus areas include volunteer recruitment, onboarding, communication, workplace health and safety, recognition, conflict resolution, and retention strategies.
The guide when finalised will be a concise and user-friendly format to ensure it can be easily understood by staff with varying levels of experience.
The impact
The creation of the volunteer management guide will improve consistency in the way volunteers are supported. New and existing staff will have a clearer understanding of their responsibilities and will be able to follow a standardised process when managing volunteer teams.
The guide also strengthens volunteer engagement by promoting clear communication, structured onboarding, and recognition practices. Success will be affirmed with Volunteers reporting that they feel informed, supported, valued in their roles and having control of the structure of their work environment. In addition, staff confidence should improve due to having a practical reference tool available for guidance and problem-solving.
