The issue
Many Landcare regions face the challenge of operating using antiquated or non-existent systems when it comes to managing individual membership and the day-to-day operation of their organisations. Other networks will be using an array of various systems that do not integrate and/or rely on voluminous staff labour to operate. The result is an unnecessary administration burden on volunteer committee members and LEP staff whilst limiting the potential benefit district members could attain from collaborating with other members in different local groups.
The solution
Various membership management systems are available that can offer community organisations an all-on-one solution designed to support clubs and community organisations. For the purpose of this case study we we have a look at the features offered by the system chosen by Mid Coast 2 Tops Landcare; Member Jungle.
The impact
The system chosen by Mid Coast 2 Tops Landcare has reduced administration workload and improved the value of Landcare membership in the district by;
- This one secure and centralised system replaced a variety of separate systems; MailChimp (email), Web Hosting & WordPress (website), Hummantix (events), Survey Monkey (member polls) and Membership Spreadsheets all replaced by one system.
- Members can now pay their membership fees online; no more cash, bank transfers or paper forms. Members are automatically notified when they are due to renew their membership without any labour input.
- Ability to take donations or sell products online via the system’s online store module.
- Reduced workload for treasurer(s) as membership payments, donations and online sales through this system can be automated to integrate with Xero.
- Reduced workload for membership secretary as the process is now automated.
- Educational resources can be made available for members through the system’s resource library feature.
- Improved connectivity and ability for members to collaborate through member chatroom feature.
- Individual local volunteer groups can be listed on the system’s directory feature and inquiries automatically forwarded to group leaders.
- Ability to easily poll membership to figure out what member priorities are.
- Comprehensive event management features include ticket sales, automated event reminders and customizable pre and post event questionnaires.
