Adding a Recurring Event
A Landcare Event can now be listed as a once-off event (default) or set to recur regularly, such as daily, weekday, weekly or monthly events.
The default is to create an event that is once-off, so you do not need to alter any settings. Just create the event as usual.
Please note that recurrent events will all have exactly the same description, text, location information and contacts, and only the dates will change. If events on different dates are in different locations or times, all location information will need to be in the body text. The other option would be to create a separate, once-off event for each date, with different location or time information.
To make an event a recurrent event, first create a new event as usual. This will open the Add/Edit event page (below).
Add the Title, Description, and select the dates and times for the first occurrence of the event. Do not change the Timezone from Australia/Victoria.
Add Event location, information on who can attend, contact details, and then the full description of the event in the Body Text area.
This information will show for every event in an occurrence.
To add further occurrences, click on the Edit... link below Event Occurrence, which will open the Repeat Menu,
The default is to start with 10 recurrences. Click on the arrow beside the Repeats to select either Daily, Weekly or Monthly repeats of the event.
Daily Repeats
If the Event will repeat over a few days within a week, select Daily from the list, which will then list 10 days following the first event.
Select the frequency, and the total number of occurrences (includes first event). For example, an event that occurs on 3 consecutive days will have a frequency of 1 day and end after 3 occurrences.
Weekly or Fortnightly Repeats
Events that occur on the same days every week or fortnight, such as working bees, select the Weekly option, which will change the Repeat menu to the following;
Select to repeat every 1 week for weekly, or 2 weeks for fortnightly events.
Select the day/s of the week the events occur
Select either the total number of occurrences, or select the Until button, and click on the date, which will open a calendar widget. For a 12 month program, select the final date.
Note: Please limit recurrent events to a 12 month period maximum.
This will then list all events coming up in the period you have selected.
If there are dates which you know will be cancelled (holidays etc), go through the list of dates, and click the rubbish bin icon to the right of that date. This will remove just that event from the list.
When all dates are arranged, click on the Save button below the dates list.
Monthly, Bi-monthly or Quarterly Repeats
Events that occur monthly, bi-monthly, quarterly etc select the Monthly option, which will change the repeat menu to the following:
This allows you to select events to repeat on a date, or a day of the week.
Select to repeat every 1 month for monthly, 2 months for bi-monthly, or 3 months for quarterly etc.
Select to repeat by Date, or the day of the week
Select either the total number of occurrences (including first event), or the final date for the series. Click in the date box to open a calendar to select the final date.
Note: Please limit recurrent events to a 12 month period maximum.
This will list the dates for the series. If one date is known to be cancelled, click the rubbish bin icon to the right of that date.
Click the save button at the bottom.
Adding Unusual Occurrence Dates
There may be situations when one event in a series has to be moved to a different date, due to holidays or other clashes. This system allows users to add dates that do not fit a regular series.
If required, delete the event in the regular series which has to be moved - as the dates cannot be changed for events within a series - by clicking the rubbish bin icon to the right of that date.
Each option in the date series has near the bottom of the menu an Add Date box:
To add another event date, click in the date box, which will open a calendar widget. Select the particular date the event will occur, then click on the Add button to the right.
Once all dates are dealt with, click on the Save button at the bottom of the Dates menu box, which will close the menu and return to the Event Add/Edit page, listing the events in the series.
When all details are correct, click on the Save button at the bottom of the event edit page.
You will then be taken to view the event as it will show the first of the dates in a list, similar to below:
Every date listed is a link to that event in the series.
Your Group Events page will now have a list of this event, each with the specific date.
